How to Automate Google Review Requests: A Step-by-Step Guide

The short answer

To automate Google review requests, (1) obtain your business's direct Google review link, (2) identify a genuine completion event, (3) confirm the customer is eligible to receive the message, (4) choose an appropriate channel and template, (5) set frequency and opt-out rules, (6) test the workflow, and (7) measure requests, clicks and published review growth separately.

  • Start from a genuine completion event, not the booking.
  • Check eligibility, opt-outs and frequency before every send.
  • Measure requests, clicks and new reviews separately.

01Find and test the correct review link

Automating Google review requests means creating a repeatable process that invites eligible customers to share honest feedback after a real experience. Done well, it reduces forgotten follow-ups and makes the process easier for customers. Done badly, it creates spam, sends messages at the wrong time or pressures customers for positive ratings.

You do not need to automate every step on day one. Start with one reliable trigger, one appropriate channel and clear rules about who should receive a message.

Open the relevant Google Business Profile, choose Read reviews and Get more reviews, then copy the link. Test it in a separate browser. Businesses with multiple locations should maintain a separate destination for each branch. See our guide to finding your Google review link.

Avoid sending customers to a general Maps search result. Every additional step creates an opportunity for confusion, especially when similarly named businesses appear nearby.

02Choose the event that starts the workflow

A trigger should reflect a completed customer experience, not simply the creation of a booking. Good examples include a completed cleaning job, a collected vehicle after servicing, a fulfilled retail order or the conclusion of a project. Poor examples include cancelled appointments, unanswered enquiries and quotes that never became jobs.

If you lack a booking or CRM integration, begin with a simple staff-confirmed completion step. Reliability matters more than an elaborate automation diagram.

03Check eligibility and permissions

A customer list is not a licence to message everyone on it. Depending on jurisdiction, the channel, message content and customer relationship, electronic marketing and privacy rules may apply. WhatsApp Business also has its own requirements for business-initiated messaging and templates.

Build explicit controls for contact permissions, opt-outs, invalid numbers, duplicate records, sensitive services and reasonable message frequency. Do not send requests only to customers you expect to leave positive reviews. Google's policy prohibits selective solicitation of positive feedback.

04Pick a channel customers actually use

WhatsApp: conversational and useful when the business already has a compliant WhatsApp communication relationship. Check template approval and the applicable rules for business-initiated messages.

SMS: concise and familiar, but character limits, message costs and marketing rules matter. Use an identifiable sender and a clear link.

Email: provides room for context and branding. Deliverability, unsubscribes and existing consent arrangements still matter.

A fallback sequence should never override a customer's opt-out or send the same invitation repeatedly across several channels without a sound reason.

05Write a neutral review request

Try this template:

WhatsApp Example message
Hi [First Name], thanks for choosing [Business Name]. If you'd like to share your experience, you can leave an honest Google review here: [Review Link]. We appreciate your feedback.

Do not ask for five stars, offer a reward or suggest that criticism should be sent privately instead of posted publicly. You can provide a customer support contact independently, but it should not be used to screen who gets the Google review invitation.

For more examples, see Google review request templates for WhatsApp, SMS and email.

06Set a sensible delay and follow-up rule

There is no universally correct delay. A customer may be ready to review a haircut immediately, while a homeowner may need time to evaluate a repair. Choose timing based on the service, then test with a small group of eligible customers.

If you use a reminder, make it limited and respectful. Suppress messages when the customer opts out, the record is cancelled or a duplicate request would be inappropriate. Do not treat a lack of response as permission for indefinite follow-ups.

07Test before launching

Run at least five test cases: a normal completed job, a cancellation, an opted-out customer, a duplicate customer and a location with a different Google review link. Check the rendered message, destination URL, sending permissions, timing and suppression rules. Confirm staff can pause the workflow quickly.

A small pilot is preferable to uploading years of customer records and immediately sending a mass campaign.

08Measure the right outcomes

Track eligible completions, requests queued, messages delivered, link clicks and published Google review count. These are not interchangeable. You may see new reviews without being able to prove which message caused each one. Be especially sceptical of guaranteed review or ranking outcomes.

A useful monthly dashboard answers: Did we ask consistently? Were messages delivered appropriately? Did customers use the link? Did review activity change? Are complaints or opt-outs increasing?

09Three workflow examples

Home-services company

A staff member marks a completed job. The system checks eligibility and sends an approved invitation after a suitable delay. A limited reminder is possible only when permitted. The owner reviews the monthly activity report.

Appointment-based business

An appointment marked attended and completed becomes eligible. No request goes out for a no-show or cancellation. The message uses the correct branch's Google link.

Multi-location retailer

Each store has its own review destination and reporting. Central administrators can compare request activity without confusing one store's rating with another's.

10Common mistakes to avoid

Automating from bookings instead of completed experiences; ignoring consent and opt-outs; selecting only happy customers; overusing reminders; sending the wrong location link; measuring sends as if they were reviews; and making the workflow so complicated that staff abandon it.

11Make the process manageable

A good system should reduce administration, not create another dashboard staff must constantly babysit. Ranknua focuses on review-request workflows using WhatsApp, SMS and email, with links, QR tools and reporting. See how Ranknua works, or compare plans.

Frequently asked questions

Can Google reviews be automatically posted?+

No legitimate review-request tool should create customer reviews on their behalf. Automation can manage invitations; customers must choose what to write and whether to review.

Can I automate requests without a CRM?+

Often yes. A manual completion list, approved import or another simple operational trigger may be enough, depending on the platform.

Should I use WhatsApp or SMS?+

Choose based on your customers, lawful messaging permissions, operational fit and cost. Test one channel before adding complexity.

Does automation guarantee more five-star reviews?+

No. It can make invitations more consistent but cannot guarantee how many people respond or what rating they give.
